Information We Collect

We collect the information you choose to provide, such as your name, email address, optional phone number, organization, role, membership category, professional interests and messages to KAMDA. Membership and registration forms may also request address, date of birth, specialty, attendance details, special requests and a typed signature. Please provide only information needed for your request and avoid sending sensitive medical information.

We record your email and SMS choices, including whether you agreed, when the form was received, the consent wording or version and the source page. If you make a payment, payment providers process your payment details. KAMDA may receive the payment status, amount and transaction reference.

Our website and service providers may also process technical information such as IP address, browser details, security checks and server logs to deliver the site and protect forms from misuse.

How We Use Information

We use information to review membership applications and registrations, manage attendance and sponsorship requests, respond to inquiries, maintain association records, process payments and send related notices. We use messaging preferences to decide whether to send optional email or text updates and to document consent. We also use necessary records to protect our services and meet legal obligations.

Service Providers and Sharing

We use hubOS as our platform to manage forms and association records. Hosting, security, email, SMS and payment providers process information as needed to provide their services to KAMDA. These providers receive only the information needed for those services, subject to their service terms and applicable safeguards.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile numbers and SMS opt-in consent are never sold. SMS opt-in information is shared only with providers that help deliver and administer KAMDA's messaging program, as needed for that service.

We may disclose information when required by law or when necessary to protect rights, safety or the security of our services. We do not give sponsors your contact details for their own marketing without separate permission.

Email and Privacy Choices

Optional email updates have a separate opt-in choice. You can unsubscribe using the link in an update email or contact KAMDA. We may still send messages needed to respond to your request or manage a membership, registration or payment.

You may ask to access, correct or delete your information, or change your communication preferences, by emailing [email protected]. We may need to verify your identity. We will handle requests under applicable law; some records may need to be kept for legal, accounting, security or consent documentation purposes.

SMS Terms

The KAMDA USA SMS program sends conference and event updates and registration notices to people who separately choose to receive texts. Entering a phone number or agreeing to another form consent does not enroll you. The SMS checkbox is optional and starts unticked. Consent is not a condition of membership, registration, sponsorship or any purchase.

Message frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help. After STOP, you may receive one confirmation of your opt-out, then no further program messages unless you opt in again. For assistance, email [email protected].

You can also contact KAMDA to withdraw SMS consent or update your number. Only provide a number you are authorized to use. Text delivery depends on your mobile carrier and is not guaranteed; carriers are not liable for delayed or undelivered messages. This program is not for emergencies. SMS consent and email consent are separate, so changing one does not change the other.

Retention and Security

Our membership application consent states that membership information is retained for 3 years after membership termination. We retain other information for as long as needed to handle your request, maintain event records, meet legal or accounting obligations, resolve disputes and document consent. Retention depends on the record and its purpose. Opt-out records may be kept to ensure we respect your choice.

We use reasonable administrative and technical safeguards and limit access to people and providers who need it. No website, transmission or storage system can guarantee complete security.

Children

Our website and forms are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact KAMDA so we can review and remove it as appropriate.

Changes to This Policy

We may update this policy as our services or legal requirements change. We will post the revised policy here with a new last updated date and provide additional notice when required by law. A policy update does not by itself enroll you in SMS messaging.
